There are 3 methods for importing into ImageRight:
- Click & Drag
- ImageRight tools in Microsoft Office applications
- Print to the ImageRight PDF printer
Documents and emails can be imported in their native format or converted to PDF upon import. Imported PDF documents can be viewed and edited in Adobe and saved back into the file, while native documents imported in ImageRight can be viewed and edited in their native application.
For example, anyone with access to the ImageRight file can open an imported spreadsheet in Excel, edit it, and save it back into ImageRight. ImageRight keeps track of each version saved. Previous saved versions of the document can be viewed in its native application as well.
Click & Drag
The click & drag method imports the document in its native format. Emails imported with this method are consider ‘live’ and can be replied to, forwarded, and automatically filed within ImageRight. Attachments in the email remain as part of the ‘live’ email. By default, email attachments are also included as separate pages in the file tree, each in their native format.
1. Select the document or email. Click and drag it to the file tree section of the ImageRight file. The yellow arrow indicates where the document or email will be dropped. If you are unsure where it should go, drop it at the top by releasing your mouse on the highlighted file.
– The location the document or email will be imported.
– The document or email will be placed after the position at which the mouse is pointing.
– The document or email will be placed before the position at which the mouse is pointing.
2. When the Import window opens, configure the import options as explained in ImageRight Import Window section of this guide.
3. Emails imported using this method will appear as live and can be replied to, forwarded, and automatically filed within ImageRight.
By default, the attachments in the email are also included as additional pages in their native formats in the file tree.
Click & Drag Options
Defaults for click & drag importing can be found under Options | Desktop Settings.
Select File Tree Options on the left, and scroll to the bottom on the right to find Drag & Drop Options.
- Import Email Body as: select MSG/EML to import the email body as a ‘live’ email; select Native and email messages will be imported in HTML format
- Import Email Attachments to the File Tree: this feature imports attachments outside of the email body in the file tree
- Split PDF Documents on Drag & Drop: multipage PDF documents will be added as a document with multiple pages displayed in the file tree when imported directly to the file level only
ImageRight Ribbon
The ImageRight ribbon is available in all Microsoft Office applications and is used to quickly import an open document.
Word, Excel, and PowerPoint
Most applications have two options in the ImageRight ribbon, Native Import and Import as PDF.
- Native Import: imports the document as a Word .doc, Excel .xls, or PowerPoint .ppt
- Import as PDF: imports the document as a .PDF
Before selecting an option, ensure the correct ImageRight file is active. When the Import window opens, configure the import options as explained in ImageRight Import Window section of this guide.
Outlook
The ImageRight ribbon in Outlook has two options for importing: Import and Quick Import. The Options button is used to set the default import options for use with the Quick Importbutton.
Options
In the Options dialog box, you can configure the settings that determine the manner in which you want the message and any attachments to be imported. The options you select will be applied each time you use the Quick Import option and will remain unchanged until updates are made in Options; therefore, you do not have to select these options each time you import a message using Quick Import.
- Message body format options
- MSG – the message body will be imported as a live email
- Native – the body of the email will import as an HTML document
- PDF – the message body will be converted to PDF format
- Import Email Attachment to the File Tree: Select the option if attachments should be imported separately in the file tree. If this option is not selected, only the text in the message will be imported if Native or PDF used.
- Convert files to PDF form: In the File types to convert list, select the extensions for those files that should be converted to a PDF. If an extension is not selected, the file will be imported in its native format.
Quick Import
Once you have set your options, importing to ImageRight becomes a one-click process.
1. Highlight or open the message to be imported.
2. Click Quick Import on the ImageRight ribbon.
3. When the Import window opens, configure the import options as explained in ImageRight Import Window section of this guide.
Import
If you need to import an email differently than your default settings in Options, use the Import tool.
1. Highlight or open the message to be imported.
2. Click Import on the ImageRight ribbon.
3. Select the desired options as explained in the Options section of this guide. Click OK.
4. When the Import window opens, configure the import options as explained in ImageRight Import Window section of this guide.
Print to the ImageRight PDF Printer
The ImageRight PDF Printer may be used for importing any file into ImageRight when click & drag and an ImageRight ribbon is not available (i.e., carrier portal). When using the ImageRight PDF Printer, the file being printed is converted to PDF format in the ImageRight file tree.
1. When printing from any application, select ImageRight PDF Printer from the printer drop down.
2. When the Import window opens, configure the import options as explained in ImageRight Import Window section of this guide.
ImageRight Import Window
The Import window is opened when importing into an ImageRight file or folder. Under the Preview tab, pages can be previewed, deleted, rearranged, and split. Under the Import Into tab, the ImageRight file, folder, and document type MUST be selected before being allowed to import. Under the Task tab, create a diary or task step designed in an ImageRight workflow on the document or email being imported. Add a note to the task or diary under the Task Note tab.
Preview Tab
The documents and pages that will be imported are listed on the right side of the Preview tab.
- Select an item in the list and view a preview on the left side of the dialog box.
- Change the order of the pages in a document by selecting the page to move and clicking
(move up) or
(move down) on the right side of the dialog box.
- Remove items by selecting the item to be removed and clicking
.
Split Imported PDF
Multipage PDF documents can be split into separate PDF pages individually or by default.
To split one PDF document at a time, right-click on the PDF document in the Import window.
1. Select Split selected PDF documents from the fly out menu.
2. Click OK.
The PDF now appears as multiple pages in the right pane as a preview to how it will appear in the file tree.
To undo, or to assemble any number of PDF pages, simply highlight the PDF pages and right-click. This can also be used to combine multiple PDF documents as a single multi-page PDF document in the file tree.
1. Select Assemble selected PDF documents from the fly out menu.
2. Click OK.
The PDFs now appear as a single PDF in the right pane.
To have all PDF documents be split upon import automatically, enable the box in the lower left corner of the Import window, Split all PDF documents. This box will remain enabled until it is manually disabled.
Regardless of how a document is split, the result is the same. The PDF pages will appear separately in the ImageRight file tree.
Import Into Tab
The ImageRight file, folder, and document type MUST be selected before the Import button becomes active. Best practice is to have the ImageRight file open and active before importing anything.
1. In the File info section, select the destination of the imported documents. Assuming the open and active ImageRight file is the correct one, select Current File from the drop. Otherwise, select Existing File and search for the correct one.
a. To search for an existing file, first select the drawer from the drop down. Expand the Location section to see searchable attributes by dragging the top of the File Tree View down.
2. Once the location has been selected, pick the appropriate folder and document type in the File Tree View. The full file structure can be seen here.
Right-click in the file tree and select Switch View to see a drop down list of document types and folders.
3. Enter a description in the Document description or Page description boxes. The entered descriptions will be displayed in the file tree and replaces the system generated descriptions. The page description will be duplicated on all pages of the document.
4. Click Import.
5. The imported document can be found in the file tree.
