Policy Mail Out - Policy Transmitting
Required Process: Each team must satisfy this portion of the workflow. Once the Policy has been issued, stamped, and finalized, import the policy into ImageRight.
Although importing the document into AIM is not a required process, it does allow for ease and efficiency of workflow.
1. In AIM, search and select the submission.
2. Click on Policy|Mail-Out Policy.
3. The date will default to today’s date. Update if appropriate; and Click OK.
4. At the cover letter prompt, click Yes.
The Document Processing window appears, displaying the policy mail-out document template. Review and edit the template as necessary. Add the policy to the document (If necessary). Select E-Mail and then select how the AIM template Document will be sent (e-mail/word/PDF).
Click Send
Close the Document Processing Window. Update AIM Activity Note (as needed).
The submission status is now updated to Policy In Force.
NOTE: If you click No on the cover letter prompt, the submission status will still be updated to Policy In Force.
