AIM Suspenses

An AIM suspense is an internal reminder specific to the selected submission in the Main grid. Suspenses can be created, edited, and viewed from within a specific submission. Suspenses can also be linked to an ImageRight page or email. To create, edit, and view a complete list of suspenses for all submissions, use the Suspense Listing module. 

Suspenses within a Submission

Suspenses relating to a specific submission can be created, edited, and viewed while working within the submission.

Creating a Suspense 

Before adding a suspense, ensure the submission is selected in the Main grid. Press F8 or click the Suspense button  on the toolbar to create the suspense.

  1. In the New Suspense window, verify the policy number and/or submission number. The suspense is specific to this submission.
  2. Type a Reason for the suspense or select one from the dropdown.
  3. In the Assign To dropdown, select the individual to whom the suspense is being assigned.
  4. Select the Date Required.
  5. Select the Priority level from the dropdown.
  6. The default Action Required/Type is FOLLOWUP. Edit if necessary. 
  7. Enable E-mail notification to have the suspense emailed to the assigned user.
  8. Enter more detail about the suspense in the Description field.
  9. Click OK to save.


Editing a Suspense and Linking to ImageRight

1. From any of the places mentioned in the Viewing a Suspense section of this guide, double-click on the suspense to open the Edit Suspense window.

 

2. Make any necessary changes, including the following:

a. Enable the Completed checkbox to mark the suspense as completed. The completion will be documented under the Activity tab. 


 

The completed suspense can still be viewed under the Main and Notes subtabs by changing the filter to All or Completed.


    

b. To link the suspense to a specific item in ImageRight, first open the corresponding ImageRight file. Highlight the document where the suspense should be linked. 

 

Once the document is selected, click the Link IR Doc button.


 

The Open IR File will enable when the suspense is linked to ImageRight. As long as ImageRight is open, clicking the Open IR File button will make ImageRight go directly to the linked document.



Viewing a Suspense 

Within a submission, double-click on the suspense from the Suspenses subtab on the Main grid…


…from the Suspenses subtab under the Notes tab…


…or from the  line under Activity to view all the suspenses associated to the selected submission.


All Suspenses

The Suspense Listing shows all open suspenses assigned to the user. It appears automatically when opening AIM but can also be accessed by selecting Module|Suspense Listing from the menu bar.


Viewing the Suspense Listing


  1. The Show For filter defaults to To Date. Any suspense due through the current date will show in the grid. To display future suspenses, click on a new date in the calendar.
  2. Select Team in the Show By pane to view suspenses assigned to member of your team.
  3. Past due suspenses will appear red. Right-click anywhere in the grid and select Export grid to create an Excel file. Viewing the Managing Grids guide for information on sorting, editing, and rearranging grids.
  4. Select a different option in the Filter By Priority or Filter By Type panes to further filter.
  5. The description to the selected suspense will show in the Suspense Note for Item # box.


Suspense Listing Options

Double-click on any suspense in the grid to close the Suspense Listing window and open the corresponding AIM file.

  1. New – adds new suspense the same submission as the selected suspense in the grid
  2. Extend – a calendar window appears allowing the required date to be edited for the selected suspense
  3. Complete – completes the selected suspense(s) and leaves the Suspense Listing open
  4. Edit – opens the Edit Suspense window for the selected suspense
  5. List/Print – view a printable list of the suspenses displayed in the grid
  6. View – opens a read-only view of the selected suspense 
  7. Search – search for a suspense
  8. Process – completes the selected suspense, closes the Suspense Listing, and opens the AIM file
