Searching for a Submission/Policy

The Quick Search feature is used to locate one or more submissions or policies in AIM.  Enter the information for which you are searching in the Search For box.

Notice the radio buttons at the far right of the Main Grid.  When searching, use the radio buttons on the right side of the screen to focus the search on Submission, Policy, Insured, Insured + DBA, Open Submt, or Held Files. Insured is the default Search setting, but it can be changed in User Preferences.   Using the Insured radio button will show all results where the Insured name meets the criteria entered in the Search For field.  Use the Submission radio button to search by AIM’s assigned submission number, and use the Policy radio button to search by policy number.

 

Use a % sign as a wild card at the beginning or end of your search to yield more results. Ending your search with % will search for policies beginning with the words/characters entered. Beginning your search with % will search for policies ending with the words/characters entered. Multiple wild cards can be used within your search and can be placed anywhere within the search field.  After entering text in the Search For text box, click the Enter key to execute the search.

 

Use the Open Submt radio button from the Quick Search options to show submissions that are not yet bound or closed. If the user is part of a broker team and their name is listed as an Acct Exec, Mktg Rep, or TA/CSR, their submissions will show up in the Open Submt search results.

Instead of searching for the same submission multiple times (e.g. if you work on it frequently), add it to your Held Files. To do so, right-click on the submission, choose File Options, then choose Add File to HELD Items. If you select the radio button for Held Files, all held file items will show up regardless of what is in the search box. This option allows 250 items to be added to this Quick Search function.


To remove an item from the Held Files list, right-click the item, choose File Options, then choose Remove from HELD Items.

                                    

 

Choosing the ‘Add To MRU File List’ will include the highlighted file as one of the three most recently updated AIM files displayed when you click File on the menu bar.

                                                

                                           
 

Main Grid Colors

When doing a quick search or advanced search, the search results appear in three colors: RedBlack, or Gray

Red – the open submission remains unquoted and no process activity has taken place for more than 2 days.  There are instances where red may represent “Good” vs. “Bad”. These instances are as follows:

  • Good: If the Effective Date is in the near future from today’s date 
  • Bad: Submission that has an Effective Date prior or close to today’s date.  If the submission is not going to be quoted or bound, it should be closed.

Black – indicates an active submission or a bound, in-force policy.

  • When a submission is quoted to the retail agent but not bound, the submission will be black until the file is closed or the policy is bound because AIM considers it an active submission.

Gray – indicates a submission that is inactive or the policy is no longer in force.

 

Advanced Search

The Advanced Search allows you to search on any field in the main grid.  In addition, you have the ability to search up to four (4) fields in one search.

Click Advanced Search in the Main view, next to the Quick Search textbox.

In the Advanced Search window, starting on the first row, select the field to search from the drop-down list.  Click the operand drop-down list and select the desired operand.  In the text box, type the text to be searched.   Repeat this up to three (3) more times, if necessary.  Click Search.

In the Advanced Search grid, the search results are displayed.  The Filter radio buttons below the grid can be used to filter the search results.

To select one file, highlight the line item and Click Select. To select multiple files, Click Return All.  Clicking either button will replace the main grid with the Advanced Search results.

 

Other Search Features

Other Search options are available from the File option on the Menu bar:

Common Searches

  • Agent Search: Allows users the ability to search for retail agents and brokers listed in AIM. 
  • Company Search: Allows users the ability to search for Companies (Market/Risk) listed in AIM, and includes a Risk Company’s Admitted vs. Non-Admitted status by state.
  • Invoice Search: Allows user the ability to quickly find invoices issued from AIM using the InvoiceID.
