With some acquisitions, previous agency management systems are simply cut off from entering any new data. Users must use AIM on a go forward basis (i.e. no data conversion takes place from the previous agency management system into AIM). In this scenario, in order to process existing business that was setup in the previous system, a “shell” submission must be created and the submission bound in order to create the “shell” policy. No invoicing is done on the “shell” policy because it was invoiced when originally bound in the previous system.
To create a Shell Policy:
Clear the insured and coverage(s) by clicking Submission| New or clicking New on the toolbar.
1. Click Submission| New Submission
2. Click New on the Toolbar
Follow the submission through the New Business Clearance workflow. Please review HERE (XXX) to the New Business procedures. At the Submission Entry screen, the Submission Type defaults to New Business. Update the submission type to Renewal if necessary.
3. After clicking Save in the Submission Entry screen, click Submission| Bind or the Bind tool on the toolbar:
- Click Submission| Bind, Right-click and click Bind, or click the Bind tool.
- OR select Bind from toolbar.
- On the Quote Detail screen, enter the market company, risk company, product, premium, fees, TRIA status, policy term, along with gross and agent commission. No other detail is necessary but you can enter limits, deductible, subjectivities, and forms/endorsements if you wish. Click Bind.
- At the Issue Binder screen, select the billing method that was used in the previous agency management system and click Bind.
- In the Document Processing window, simply click Save and Close since you do not need to send a binder. When prompted to create a suspense, click No.
- At the Invoice Transaction screen, click Cancel. You will not want to create an invoice on any shell policy in AIM.
- Click Policy| Mailout Policy.
- Click OK at the date prompt.
- Click No to prepare a cover letter prompt. No documentation will need to be created on a Shell Policy.
11. The “shell” policy has now been created and you can perform normal policy processing.
