As dictated by the RT Way, certain documentation is required to be stored in TITAN Imaging. Documentation can only be added to TITAN Imaging by emailing TITANarchive@rtspecialty.com and TITANdetach@rtspecialty.com. All documentation must be indexed. Indexing is the process of associating documentation to a specific submission and selecting a document type.
There are multiple methods for importing into TITAN Imaging:
All documents and emails are imported in their native format.
TITAN Imaging Desktop Tab
The TITAN Imaging Desktop tab is a temporary holding place for emails sent to TITANarchive@rtspecialty.com and TITANdetach@rtspecialty.com. Once indexed, emails on this tab will move to the Archive folder within a particular submission. The TITAN Imaging Desktop tab is located on the TITAN Commercial homepage, and within the individual submission.
The emails under the TITAN Imaging Desktop tab are user specific. Meaning, you will only see the emails you sent to TITANarchive@rtspecialty.com and TITANdetach@rtspecialty.com.
Importing from the Homepage
- Click on the TITAN Imaging Desktop tab.
- Make sure the submission you want to import into is listed under one of the four account tabs.
- Under the TITAN Imaging Desktop tab, select the email to be imported. If one is selected by accident, click it again to de-select it. Selected emails are shaded gray. Click View in TITAN Imaging to view the entire email.
EMAILIN are emails sent to TITANarchive@rtspecialty.com. DETACH are attachments to emails sent to TITANdetach@rtspecialty.com. - Drag the email to appropriate submission. Ensure the submission is gray before dropping the email.
- The Description defaults to the subject line of the email. The Category may or may not default. Both can be edited. For further information regarding TITAN Imaging categories, view the File Structure guide.
- Choose Index to complete the import.
The email will be filed under the Archive tab and a copy of the attachments will save to Work Docs. - Repeat steps 1-6 to import the attachments as separate line items in Archive.
Importing from the Submission

- Check the box next to the document to be imported. EMAILIN are emails sent to TITANarchive@rtspecialty.com. DETACH are attachments to emails sent to TITANdetach@rtspecialty.com. Click View in TITAN Imaging to preview the document. Click Index Selected Items to proceed.
- The Description defaults to the subject line of the email. The Category may or may not default. Both can be edited. For further information regarding TITAN Imaging categories, view the File Structure guide.
- Choose Index to complete the import.
- The email will be filed under the Archive tab and a copy of the attachments will save to Work Docs.
- Repeat steps 1-4 to import the attachments as separate line items in Archive.
TITAN Outlook Plugin
The TITAN Outlook Plugin is only available in the TITAN Citrix desktop. It is visible when replying, forwarding, or sending a new email in Outlook. The plugin allows you to index the email and have it sent directly to a submission’s Archive tab.
To utilize the plugin, start a new email from Microsoft Outlook.
1. Address the email. If forwarding an email to TITAN Imaging, put TITANarchive@rtspecialty.com and/or
TITANdetach@rtspecialty.com in the To field. If sending the email to a person, put TITANarchive@rtspecialty.com and/or TITANdetach@rtspecialty.com in the BCC field.
a. TITANarchive – Sending an email to TITANarchive@rtspecialty.com will import the body and any of its attachments to Archive. Copies of attachments are automatically stored in WorkDocs.
b. TITANdetach – Sending an email to TITANdetach@rtspecialty.com will import the attachments as separate line items in Archive.
2. Click the TITAN icon under the Message header.
3. Select the Category from the drop down. For further information regarding TITAN Imaging categories, view the File Structure guide. Fill in the Description field if needed. If left blank, the description will default to the subject line of the email.
4. Type in the Insured Name or Policy #. Enabling the Do no auto-detach to Work Docs box prevents copies of the attachments from being saved to WorkDocs. Click Add.
5. Click Send.
6. The email will be filed under the Archive tab and a copy of the attachments will save to Work Docs
Outlook Inbox Tab
The Outlook Inbox tab is a direct link to your own Outlook inbox. The tab is located on the TITAN Commercial homepage, as well as within each individual submission. Only emails received recently are visible and available to import from this tab.
Importing from the Homepage
- Click on the Outlook Inbox tab.
- Make sure the submission you want to import into is listed under one of the four account tabs.
- Under the Outlook Inbox tab, select the email to be imported. If one is selected by accident, click it again to de-select it. Selected emails are shaded gray. Click Preview e-mail to view of the body of the email only.
- Drag the email to appropriate submission. Ensure the submission is gray before dropping the email.

- Choose Index or Index & Detach to complete the import.

Drag & Drop
Emails, email attachments, and computer documents can be dragged directly into Archive.
After dropping the file in Archive, verify or update the Description and Category. Enabling the checkbox means a copy of the file will not be sent to Work Docs. When finished, click Send.
Emails
When dragging in an email with an attachment, the attachment will not appear in the file tree but will copy to Work Docs.

Upload
Click to select files to upload. Drag them into the window or click
to search your computer.
Select the Category and click Upload.
