Process Bind is used for Brokerage quotes unless special handling is required. Under the quote tab, click the radio button next to the quote to be bound. Click Process Bind.
Processing a Binder
After receiving the binder from the carrier, follow the steps below to process it in TITAN.
Step 1: Enter Bind Info
Bind Info
Verify the information in this section. Edit if necessary. Best practice is to not bind prior to receiving the policy number. Click Yes to enter it.
If an inspection needs to be ordered, exit this process and proceed to Request Bind.
Risk Information
Review the Risk Information. To edit, exit the workflow and make the change inside of the quote.
Risk Location
Review the Risk Location. To edit, exit the workflow and make the change inside of the quote.
Contract Parties
Verify the information in this section. Edit if necessary. To edit the Associate, exit the workflow and make the change inside of the quote.
Click Next under Bind Workflow to continue.
Step 2: Taxes & Premium Totals
The taxes and premium totals screen displays a summary of the premium, taxes, fees, and contract parties. Review for accuracy. Corrections can only be made inside the quote.
Click Next under Bind Workflow to continue.
Step 3: Attach Work Docs
All Work Docs will display on this page. Attach any additional documents using the Upload button. Click the icon in the View column to preview any work doc.
Click the Selected checkbox to attach the document to the quote email. Click the Combine PDF checkbox to bundle the Work Doc with the RT generated quote. Set the collation order starting with 0 for the first attachment. If the Combine PDF checkbox is left unchecked, the carrier binder will be a separate attachment when the binder is emailed out.
Click Next under Bind Workflow to continue.
Step 4: Enter Remarks, Terms, Conditions & Subjectivities
The remarks, terms, conditions, and subjectivities will pre-populate from the quote. Make any desired changes, then click Next under Bind Workflow to continue.
Step 5: Review Binder
This screen will provide a preview of the binder. Please note, this preview will display the original application number, not the policy number or binder number that was entered on step 1. This is because the bind order has not yet been communicated to Concept One. You may still exit the binding workflow from this step, and the quote will remain a quote.
This screen provides two choices: Pend bind, and Finalize bind and post the invoice
- Pend Bind: Choosing pend bind will delay posting of the binder and invoice until 11pm Eastern Time the day the binder is processed. This allows extra time to edit the quote for any corrections that need to be made that are discovered after the binder is sent out. Any changes that are made in the quote prior to 11pm Eastern Time will be reflected on the binder. The binder will go out that night with no additional intervention. The Numbers will not post until the bind is finalized.
- Finalize Bind and Post the Invoice: Choosing finalize bind and post the invoice will bind the account immediately, and the account will show in the numbers right away. Any changes are requested on the Service tab.
Choose either option. Click Next under Bind Workflow to continue.
Step 6: Email Binder
- Attachments: Attach Work Docs or Forms. Files can also be uploaded directly from your computer. Click Finish to return to the Send E-Mail tab.
- Schedule: schedule the email for a future time/date.
- Signature: edit your personal TITAN email signature.
- +Add Text Template: add a new template. Otherwise, choose a previously saved template from the drop down.
- Manage Recipients: add or edit recipients
- Subject: pre-populates with the insured name. It can be edited.
- Request read receipt: receive a read receipt when the email is opened by the recipient. If the recipient does not have read receipts enabled, you will not receive one.
- Set high priority: set the email as high priority
- Send: Click Send to send the email.
Once the email has been sent, it will be automatically indexed to Archive, and the binder will drop into Work Docs. Under the Quote tab, the status is changed to Bound.
